Small business dashboards for sales, margin and cash

Your numbers live in spreadsheets, your CRM and your accounting system, and every report means copying between them. We build one dashboard that pulls from all of them and updates itself, so you see the same numbers your team sees.

The problem

When the data cannot keep up

A good-looking chart does not help if two people get two different totals. Before we build anything, we agree on what each number means, where it comes from and who uses it to decide.

  • I walk into the weekly meeting and each manager brings a different sales number from a different file.
  • I can see total sales, but I cannot tell which location, product or cost is moving the margin.
  • Someone on my team spends Monday morning rebuilding the same report, and it is already out of date when I read it.

What you get

A deliverable your team can use

We pick Power BI, Looker Studio or Google Sheets based on your sources, your licenses and how your team already works. Everything is built in your own Microsoft 365 or Google account, so you own it.

Sources and definitions

A written list of where each number comes from, the formula behind it and who owns it.

Connected data

Your spreadsheets, CRM and accounting exports cleaned and linked so totals match the source systems.

Owner view

One page for trends, targets and exceptions, with drill-down by location, product or salesperson where your data supports it.

Automatic refresh with checks

A scheduled update and validation rules that flag a missing or incomplete file before it reaches the dashboard.

Handoff

Written documentation and a training session so your team can read and use the dashboard without calling us.

How it works

From free call to handoff

  1. 1

On a free 30–45 minute call we look at the decisions you make, where the data lives and one example of your current report.

  2. 2

You get a written proposal with scope, numbers to track, access needed, deliverables, timeline and a fixed price.

  3. 3

We build the data model and the dashboard, check totals against your sources and review a working version with you.

  4. 4

We hand over the dashboard, the definitions and a short guide. Ongoing support starts at US$450/month if you want changes later.

Validation

Every total checked against the source

Before the dashboard goes live, we compare its totals with your spreadsheets, CRM and accounting system, and we document any difference we find. You review a working version with your own data before you pay for the pilot.

Package fit

The scope determines the package

Most clients start with the 14-Day Dashboard Pilot (US$750, paid on delivery): two sources and up to eight of your numbers in a working dashboard. Executive Cockpit is a fixed US$3,900 for up to four sources and three dashboards. Control Room starts at US$15,000 when several systems need to be integrated.

FAQ

Frequently asked questions

How much does a Power BI dashboard cost for a small business?

It depends on how many sources, how much cleanup and how many views you need. Our 14-Day Dashboard Pilot is US$750 for two sources, and Executive Cockpit is a fixed US$3,900 for up to four sources and three dashboards. The proposal states the price before any work starts.

Can you use my Excel files and the data in my current systems?

Yes, if we can access them with your permission and understand their fields. We check whether each system offers an export, an API or a direct connection, and we confirm the totals match before the dashboard goes live.

Which numbers should a small business owner see on a dashboard?

The ones tied to a decision: usually sales, gross margin, cash and overdue accounts, broken down by location or product. On the free call we ask what you decide each week and start from there instead of filling the screen with metrics nobody owns.

Should I use Power BI, Looker Studio or Google Sheets?

Power BI fits more complex models and Microsoft 365 companies. Looker Studio and Sheets fit businesses that already run on Google Workspace. We recommend one after seeing your sources, your licenses and who needs access.

How often does the dashboard update?

It depends on the source and its access. Most dashboards refresh daily on a schedule; some sources allow more often. The proposal states the refresh frequency and what happens if a source does not arrive.
